Compiling Documentation:

Consolidation of Notes and Data:

  • The Scribe and Data Collector should first consolidate their respective notes and data into a coherent document. This includes organizing notes chronologically or thematically and categorizing data for easy reference.

Cross-Verification:

  • Cross-verify notes and data to ensure accuracy and completeness. This step might involve revisiting recordings (if available) or clarifying ambiguous points with the Lead or participants.

Finalization for Distribution:

  • Prepare the final document by including an executive summary, key insights, decisions made, action items, and any unresolved issues. The document should be formatted for clarity, with distinct sections and visual aids like charts or graphs as needed.

Distribution Protocol:

  • Establish a distribution list that includes all workshop participants and relevant stakeholders. Consider creating different versions of the document for different audiences, e.g., a detailed version for team members and a summarized version for broader stakeholder dissemination.

  • Archive the minutes in an accessible location (shared drive) with the relevant permissions granted for each document (request access/public access) for future reference and documentation

Promotion:

  • Project team to create a group photo of the attendees and team at event, post online and use ready made tweet/linked in content and ask all attendees to engage (like, share, follow etc) to be entered into a giveaway

  • Survey completion (relevant quantitative and qualitative data, poll, for Catalyst Impact Report purposes and marketing posts/infographic design)

  • Media (video recording and photos of Project Lead, Scribe and Facilitator)

  • Feedback survey (anonymous option)

  • Follow and like the event post made by project team and that has tagged IOG Catalyst, Rare Evo and Sustainable ADA X accounts/ LinkedIN

  • Use hashtags (eg #catalystWG #WGFundingPriorities #WGOperatingParameters #WGIncubation&Acceleration…)
